Terms and Conditions of Hire.


Hereafter RS limousines shall be known as "The Company", and the person signing the booking confirmation sheet shall be known as "The hirer". It will be deemed that The Hirer accepts responsibility by himself / herself for every person in his/her party and fully agrees to the conditions of hire as follows:

1. a) All bookings are by pre-booking only and must be confirmed immediately with a minimum deposit of £75.00 (Seventy Five pounds),  before it is accepted as a positive booking and a contract is entered into. Weddings and Special events will require a minimum £100.00 (One Hundred Pounds) deposit. The deposit required will be stated overleaf and is calculated on a percentage scale, normally approx 1/3 of the total booking value.

b) For weddings and special hires, e.g. Daily, Ascot, Aintree, Silverstone etc, payment in full must be received by our office at least 14 days before date of hire. If payment is not received by that date, the booking will automatically be cancelled and your deposit forfeited unless other arrangements have been agreed between both parties

c) Notice of cancellation MUST be in written form and signed by the original hirer or a person acting on their behalf. We do not accept verbal cancellations. For special events, No refund will be given on full payments made by the Hirer if cancellation is made after the 14 day period stated   above.  All other cancellations, greater than 14 days before the booking, the deposit will be forfeit. Less than 14 days notice, the full payment will then become payable.

d) On short notice bookings payment must be made in advance either by cash \ credit \ debit Card prior to commencement of hire. Credit card transactions will incur a 5% handling charge. Cheque payments can only be accepted at least 10 days before the date of hire. Cancellations must be notified to the company by as soon as possible. Our sales representative will assist you with the procedure. Cancellation within 7 working days will always require the full payment to be made, with limited exceptions.

2. In the event of a cancellation, any deposit paid would be forfeited, however unavoidable circumstances e.g. bereavement, deposits may be refunded at the discretion of the company.

3.a) No responsibility whatsoever can be accepted for adverse weather conditions, traffic congestion, road works which may cause delay or cancellation of a booking by the Company. The hirer shall allow a 15 minute period of grace to the booking to allow for any extra time needed to negotiate unexpected obstacles, or diversions, on the vehicles route to any collection point. Drop off and collection points will be subject to safety and parking/loading restrictions as laid down in the highways act.

b) All persons should be available for collection upon the vehicles arrival. Delays to the vehicles schedule caused by the hirer or any member of their party may result in termination of the contract, or departure of the vehicle with latecomers being absent. On both counts, the full monies must be paid. The amount of grace given for the return journey will be 15 minutes from your allocated pick up time. It is the hirer’s responsibility to contact the driver in the event that the hirer or any member of their party will be late in excess of the allowed 15 minutes for whatever reason. The driver will at this time advise the hirer or member of the party whether the delay can be accommodated. In all circumstances where we can accommodate a late departure, there will be an additional charge of £40.00 for each hour or part thereof. Failure to advise will result in the vehicles departure on the assumption the party has deemed to make alternative travel arrangements.

4. Whilst every effort is afforded to the serviceability of the vehicles, no responsibility can be accepted for mechanical, electrical or material breakdown howsoever caused. In this unlikely event every effort will be made for immediate repair to the vehicle so that the journey can continue, or the Hirer and guests would be transferred to another vehicle/s and any reasonable extra costs incurred will be borne by the Company or refund given. Time must be allowed by the hirer for any necessary arrangements to be made. Costs refunded will not exceed the total paid by the hirer for the single journey that has been interrupted.

Note: In the event of conditions 3 and 4 or any other breakdown and/or accident no responsibility will be accepted for missed connections and/or functions, howsoever caused.

5. In the event of a breakdown or accident to the vehicle booked prior to the date of the booking, every effort will be made to supply a similar or alternative vehicle/s at the Company's discretion. If this is not acceptable to the Hirer a refund will be made not exceeding monies paid.

6. The Company reserves the right at any time to change / replace or renew the vehicle/s booked or advertised in order to maintain the Company’s high standard. The replacement vehicle would be of the same type as originally booked.

7. The consumption of food /food products/chewing gum within the vehicle is not permitted at any time. The taking of illegal drugs and smoking of ANY substance including tobacco within the vehicle is not permitted at any time. Breach of either of the aforementioned terms will deem the contract terminated with immediate effect with no monies refundable. Where time constraints allow and a suitable place for the vehicle to stop safely, the hirer may request that the vehicle to stop for a time period not exceeding 10 minutes. The decision to stop the vehicle is at the sole discretion of the chauffeur and his/her decision will be final. Any request to interrupt the journey that is agreed and acted upon will nullify any claims for compensation for lateness during that journey. The consumption of alcohol after 11pm is not permitted. Any sealed beverages left within the vehicle by the client after this time will be safely stored and returned after completion of your journey. We have no way of storing open bottles or cans, these will be disposed of on your behalf following completion of that lag of travel.

8. The soft drinks supplied free of charge by the Company may only be consumed within the vehicle and must not be removed from it at any time. The contents of the vehicle, including glasses and any other loose items, must not be removed from the vehicle.

9. The Hirer shall be fully responsible and liable for any damage caused both inside or outside the vehicle by the Hirer or any members of his/her party, howsoever caused. This includes incitement to ANY Third Party, which results in damage to the vehicle or its contents. The Hirer will agree to be liable for the total retail cost of the repair, and the location of the repairer will be determined by the Company. In addition the Hirer will be liable to pay to the Company a fixed daily rate (determined by the Company) while the vehicle is out of commission for such repairs, plus any further incurred losses, i.e., by lost bookings.The company will endeavour to keep the costs to a minimum where possible. Claims for injury caused by malicious damage, or as a result of malicious damage to the vehicle will not be accepted by the company.

10. The Company or its representatives (e.g. chauffeur) reserve the right to refuse entry to the vehicle to any person / persons they deem unfit for whatsoever reason and can refuse to continue the journey if any person / persons behave in a manor which may be detrimental to other persons or to the vehicle and its contents. In this event no refund will be given. Any injury, howsoever caused, during the journey must be notified immediately to the driver. The company accepts no responsibility for injuries caused as a direct result of alcohol, non prescription drugs, or disorderly conduct within the vehicle.

11 Any extra requests or alterations to the booking (i.e. additional pick-up points, change of venue causing extra mileage and/or time) not made at the time of booking / confirmation cannot necessarily be entertained, although every effort will be made to meet the requirements of the Hirer. Any such alterations would in most cases involve extra charges being levied on the original quotation. Any extra charges incurred should be paid in cash to the chauffeur during the course of hire.

12. On rare occasions, the company reserves the right to transfer the contract to another reputable limousine company. The hirer will be notified of the change and if agreed with the hirer, the contract with RS limousines will be terminated and a new contract will come into force with the replacement limousine company. Any substitute vehicle will be of the same or higher specification although internal fitments may vary.

13. Once a booking is made and confirmed and deposit paid, the price quoted to the Hirer will not be subject to alteration unless there is any deviation from details of the booking by the hirer. (see condition 11).

14. The "Company’s Discretion" shall be decided by the Owners of the Company at all times, and their decisions will be final and fully binding in all matters.

15. It is the responsibility of the hirer to ensure ALL members of their party are aware of our terms and conditions. They are there for everyone’s safety.
